Hospitality Agreement between The Farmstays and Guest
1. CANCELLATION AND REFUND POLICY
1.1 Cancellation Terms
- a) Full Refund Eligibility:
- Guests must cancel their reservation a minimum of five (5) full calendar days prior to the scheduled check-in date to qualify for a complete refund of the booking amount.
- b) Late Cancellation and No-Show Provisions:
- Cancellations made within five (5) days of the check-in date or failure to arrive shall result in forfeiture of the entire booking amount.
1.2 Peak and Restricted Dates
- a) Non-Cancellable Periods:
- Certain high-demand dates, including but not limited to national holidays (Independence Day, Diwali, Christmas, New Year’s Eve, Republic Day), are subject to strict non-cancellation policies.
- b) Promotional Booking Restrictions:
- Bookings made using special promotional codes during peak periods may be rendered entirely non-refundable, irrespective of cancellation timing.
1.3 Refund Processing Protocols
- a) Refund Timeline:
- Approved refunds shall be initiated within seven (7) to ten (10) business days.
- Actual credit reflection may vary based on the payment method employed.
- b) Transaction Fees:
- TFS reserves the right to deduct a processing fee, not exceeding five percent (5%) of the refund amount, to cover administrative and payment gateway expenses.
- c) Partial Payment Implications:
- Reservations secured through partial initial payments may be subject to complete non-refundability upon cancellation.
1.4 Extraordinary Circumstance Considerations
- a) Discretionary Refund Evaluation:
- TFS may, at its sole discretion, consider partial refunds for documented extraordinary circumstances, including:
- Verified medical emergencies
- Government-mandated travel restrictions
- b) Refund Conditions:
- Supporting documentation must be provided.
- Refunds are contingent upon the original dates being subsequently booked by another guest.
1.5 Rescheduling Provisions
- a) Advance Notification:
- Rescheduling requests must be submitted a minimum of two (2) days prior to the original check-in date.
- b) Rescheduling Fees:
- No fee for requests made more than twenty-one (21) days before check-in
- Twenty-five percent (25%) rescheduling fee for requests between twenty-one (21) and two (2) days before check-in
- Rate differentials must be paid for bookings with higher applicable tariffs
- c) Rescheduling Limitations:
- Rescheduled bookings typically become non-refundable upon confirmation.
- Bookings using non-cancellable promotions may have additional restrictions.
2. CHECK-IN POLICY
2.1 Guest Eligibility
- Primary guest must be eighteen (18) years of age or older.
2.2 Check-In Procedures
- Standard check-in commences at 12:00 noon.
- Guests may arrive after 12:00 noon on the scheduled date.
2.3 Identification Requirements
- Mandatory government-issued photo identification for all guests eighteen (18) and older.
- Acceptable IDs: Aadhar Card, Driving License, Voter ID, Passport
- PAN cards are expressly excluded as valid identification.
2.4 Child Policy
- One child under five (5) years may stay complimentary without requiring an extra mattress.
- Additional or older children subject to property-specific supplementary charges.
3. CONDUCT AND BEHAVIORAL EXPECTATIONS
3.1 Prohibited Activities
- Illegal activities are strictly forbidden, including but not limited to:
- Gambling
- Unauthorized commercial operations
- Activities contravening local legal statutes
3.2 Reservation of Rights
TFS and its properties maintain the right to:
- Refuse service
- Immediately evict guests for:
- Non-payment
- Disruptive behavior
- Property damage
- Threatening conduct
- Actions deemed inappropriate by management
4. Smoking, Drugs & Alcohol Policy

Some TFS properties may designate specific smoking areas or be fully non-smoking. Guests should check the property’s listing and inquire at the front desk upon arrival.

Violation of a non-smoking rule may result in cleaning fees or eviction without refund.

Illegal Substances

The possession or use of illegal drugs (or substances classified under the Narcotic Drugs and Psychotropic Substances Act, 1985) is strictly prohibited.

Any evidence of such activity will be reported to the police and may lead to immediate eviction.

Alcohol Consumption

No alcohol consumption is allowed in public/common areas (e.g., lobby, hallways, parking lots) unless the property has explicitly designated and licensed such areas.

Consumption of alcohol in private rooms may be permitted, provided it does not disturb other guests or breach any local laws or property rules.

5. GENERAL PROVISIONS
5.1 Precedence of Terms
- Property-specific listings with more restrictive terms shall supersede this general policy.
5.2 Policy Modifications
- TFS reserves the right to modify these terms.
- Material changes shall be communicated via official channels.
5.3 Legal Compliance
- Guests must adhere to all applicable local, state, and national regulations.
- Non-compliance may result in legal action and immediate removal.
ACCEPTANCE OF TERMS
By completing a booking with TFS, the guest acknowledges, understands, and agrees to abide by these terms and conditions in their entirety.
